Who We Are
As part of the organisational merger, services delivered by Let’s Talk Relationships, on behalf of Bradford District Care Trust and The Pink Ribbon Foundation, will be delivered by TLC: Talk, Listen, Change Group from the 1 September 2025.
This privacy notice explains how your personal data will be processed as part of this transition, and how your rights are protected under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Why You Are Receiving This Notice
You are receiving this notice because you are:
- A current or former client of a contract-based service that is continuing under a new provider, or
- On a waiting list or referral pathway for services originally offered by Let’s Talk Relationships
Purpose of Processing
We process your personal data to:
- Continue providing the service you were referred into or are receiving
- Contact you regarding your support sessions or any changes to your service plan
- Manage appointments, communications, and clinical records
- Fulfil the terms of service agreed under your original referral or contract
Lawful Basis for Processing
Article 6(1)(b) – Contractual Necessity
We process your personal data because it is necessary to fulfil the contract for services you have entered into — or are preparing to enter into — with us. This applies whether:
- You are receiving direct services (e.g. counselling, support)
- You are engaged through a commissioned or funded contract (e.g. NHS, local authority, charity grant)
Special Category Data (Health/Support Needs)
If we collect or continue processing health-related information:
- Article 9(2)(h) – Provision of health or social care
This applies where our service includes therapeutic support, risk assessment, or clinical care.
What Data We Hold
We may process the following types of personal data:
- Name, contact information, and date of birth
- Referral and assessment records
- Appointment history and case notes
- Health or emotional wellbeing information (where relevant to service delivery)
- Risk assessments or safeguarding information (where appropriate)
How We Use and Protect Your Data
Your data will only be accessed by authorised professionals and support staff delivering the service. We store your data securely and protect it through a combination of:
- Encrypted systems
- Access controls
- Organisational policies (e.g. confidentiality, safeguarding)
We do not use your data for marketing or share it with third parties unrelated to your care.
How Long We Keep Your Data
We retain your records in line with professional, legal, and safeguarding standards — typically:
- 7 years after your last contact, unless a longer retention period is required (e.g. for safeguarding or clinical auditing).
Your Rights
You have rights under data protection law, including the right to:
- Access your data
- Correct inaccurate data
- Request deletion (where appropriate)
- Object to or restrict processing
- Lodge a complaint with the Information Commissioner’s Office (www.ico.org.uk)
